Serving on a BMA committee is a great way to meet new friends and colleagues, learn more about BMA and have fun.
BMA Houston Committees
BMA Houston puts on several types of events in efforts to educate fellow marketers, provide environments for networking, and invoke discussions among marketers. Monthly luncheon programs are every third Thursday most months and there are often night events when the opportunity arises to have an engaging speaker. Social events are also held on a monthly basis, with exception to events such as the Lantern Awards where there is a lot on the schedule. BMA Houston events also include an annual auction and golf tournament.
Programs
Programs are a vital part of driving every aspect of the BMA Houston chapter in efforts to educate fellow marketers. Ultimately, the content of BMA programs develops our membership and interest in the organization as a whole. Programs include, but are not limited to monthly luncheons, focused programs, membership drives and trade show calendar maintenance.
Responsibilities include:
- Secure monthly luncheon speakers
- Work with speakers to develop content that is relevant to the chapter and appropriate for the type of event being held
- Request speaker materials needed in advance
- Coordinate transportation
- Communicate with speaker regarding A/V set up in advance and work with A/V sponsor
- Be on-site during the meetings to facilitate the speaker and act as BMA liaison
- Revise and edit the biographies and synopsis any speaker submits prior to engaging the BMA Houston chapter. Also work with the marketing committee to get information edited as needed. Work with the Marketing Committee to promote any and all programs in a timely manner
- Develop focused programs outside of monthly luncheons (night events, quarterly round tables), that would be of interest to BMA Houston
- Work with the Socials Committee to cross-promote events and to develop ideas for networking events and membership drives
- Work with the Public Relations Committee providing material for Twitter, Facebook and LinkedIn posts as well as press releases for local media vehicles in a timely manner
- Manage budget allotted to develop and implement programs for the year
Socials
The Socials Committee provides opportunities for members and non-members to network in a fun environment while promoting BMA Houston
Responsibilities include:
- Developing a monthly social calendar of events complete with dates and venues
- Provide the Marketing, PR and Web Admin Committee with copy necessary to promote the event
- Work with the Socials Sponsor on planning events and implementation
- Work with event venues on details regarding food and libations, set up and any planning involved prior to the event
- Work with the BMA Houston Administrator communicating anything you need for the night of the event (i.e.- drink tickets, signage)
- Develop and manage budget for all events
- Serve as the BMA welcoming committee at events and help attendees meet and mingle with new contacts
- Decorate for event if necessary
- Follow up with social attendees within an appropriate time frame after the event inviting them to upcoming BMA events
- Serve as liaison for any co-hosted BMA social events and develop opportunities to co-host events
- May work with the Membership Committee in developing membership drives
- Work with Auction Committee on the annual auction kick-off event
Lantern Awards
- Choose the venue and date of the awards along with coordinating efforts with the venue for the nights events
- Work with vendors in creative development- Call for Entries, Save the Dates, Invitations, Website, etc
- Judging- securing judges, work with BMA Administrator on travel arrangements
- Secure sponsorships and maintain agreements with the help of the Sponsorship Chair
- Put together the Lifetime Achievement Award committee
- Secure all external sources necessary to host the event
- Work with Marketing and PR committees to promote the event
- Copywriting and editing all material
- Maintain the Lantern Awards website and lanterns entries submitted online
Fundraising (auction, etc)
- Work on live and silent auction as determined by the format decided on by the committee each year
- Work with third party vendors for online bidding
- Secure silent auction items
- Work with the Socials Committee for the kick-off party
- Provide materials to promote the events to marketing for email and mailings
- Manage budget for the event
Golf
- Course booking- time, place, date
- Lunch and dinner arrangements
- Work to develop sponsorships and fundraising ideas
- May work with the Sponsorship Chair on selling sponsorships
- Look for potential co-ops that may enhance the golf experience
Sponsorships
Sponsorships are integral to the existence of BMA Houston. We typically have three Platinum Sponsorship and numerous Sustaining Sponsors that must be not only generated annually, but also maintained.
Responsibilities include:
- Reading through existing sponsorship agreements and proposing amendments to the board of directors
- Maintaining existing sponsors
- Creating and developing new sponsorships opportunities when applicable, pitching proposed sponsorships to prospects, writing the sponsorship proposal and maintaining a signed sponsorship agreement
- Working with Marketing committee to make updates to existing sponsorship materials and communicate to board when and how the materials are available
- Making sure that all points of sponsorship perks agreed to in the sponsorship contracts are fulfilled on behalf of BMA Houston (i.e.- correct logo placement on websites, e-newsletters and print material) by working with Marketing, PR, Web Admin and Event committees
- Assisting all events including socials, Lantern Awards, annual auction and golf events with generating and managing sponsorships
- Maintaining sponsorship logo files, artwork, banners, posters, etc. and ensure chapter Administrator has a copy of all files for recordkeeping
- Following up with sponsors on a regular basis to check in on satisfaction and support
Membership
The membership committee chair can best be described as the chapter recruiter. Not only should they seek opportunities to recruit new members, but plan and implement programs for member retention.
Responsibilities include:
- Creating and implementing ways to promote membership benefits
- Generate awareness of BMA Houston
- Support networking of members with similar talents and interests
- Be familiar with the National membership policies, procedures and resources for BMA as you will be the go-to person for any inquiries for local or national questions. Please familiarize yourself with the National benefits and resources to benefit local members
- Develop and maintain informational material which describes the benefits of membership for BMA Houston
- Regularly communicate with members utilizing the BMA Houston website, e-newsletter, social media and other resources to highlight membership benefits. Work with Web Admin, Marketing and PR to do so.
- Keep BMA Houston membership roster up to date with the help of BMA National
- Develop and implement new strategies to recruit new members
- Work with the Social and Programs Committees to hold networking events and membership drives
- Develop and implement strategies for welcoming new members and visitors during and after events
- Develop a strategy for re-instating lapsed members
- Provide a written report on current membership and goals during the retreat and at monthly meetings
Communications
The Communications Committees objective is to enhance the image of BMA Houston among a targeted audience as determined by the board of directors. Utilizing a variety of communications vehicles, each team will work together to promote programs, events and chapter news to our mail and email lists to communicate with members and prospective members.
Marketing
- Develop email and print material templates
- Develop copy and descriptions of all programs events for print, e-newsletters and the BMA Houston website
- Manage scheduling of all communications materials to promote working with all committees necessary to gather messaging
- Prepare content for all marketing and advertising materials in efforts to communicate via email or print
- Find advertising opportunities to promote the BMA Houston Chapter and/or BMA Houston events
- Develop BMA Houston promotional items as needed
- Serve as copy editor and copy writer when necessary
- Develop email blasts to be distributed each week working with a third party vendor for distribution in promoting programs and events
- Develop and coordinate quarterly post cards working with a mail house for dissemination
- Gather all material to be edited for the website and all marketing materials
- Work with Membership Committee to develop creative materials to generate new membership and on retention efforts
- Work with the Program and Social Chairs in gathering information about upcoming programs
Public Relations
- Develop press releases and relationships with external media vehicles in which to promote BMA events and chapter news
- Work to raise awareness among key audiences through reporting on Chapter activities, accomplishments and noteworthy happenings
- Work with Programs and Social and Membership Committees to develop surveys and deliver survey results as needed
- Act as liaison to outside organizations and partnerships in promoting events
- Actively develop partnerships and seek opportunities in which to cross-promote organizations (co-ops)
- Develop messaging for all BMA Houston social media messaging and maintain all social media networks: LinkedIn, Facebook and Twitter
- Report trends in any new media vehicles that may be useful to BMA Houston messaging
- Facilitate media relations
- Option to work with Programs and Social Committees to integrate PR initiatives within BMA Houston events
Web Administrator
- Works with all committees to provide website updates to ensure accurate and up-to-date information on bmahouston.com
- Learn and utilize the content management system to make text and image updates to the site
- Manage the events calendar, organize current pages and update all links to the site
- May be called upon to assist in managing the Lantern Awards website updates
- Update the website with Chapter news
- Coordinate board of director photo and biography updates prior to the beginning of each new term with all board members
- Assist with weekly marketing email blasts
- May assist with social media efforts working with the PR committee
- Work with the Marketing committee should there be a redesign to the website or a major change for the structure of the site (including assisting with the production of the intro video)
Editor
- Assist all committees by proofreading material
- May be asked to write copy when necessary
- Lend support for any written material be it print or online
Student Assistance Program
BMA has provided assistance to area students in a variety of ways for over 16 years. We offer scholarships, internships and have sponsored BMA student chapters at the University of Houston. These activities are managed by the Student Assistance Chair.
Responsibilities include:
- Presenting a budget to the Board of Directors based on income from the auction and golf tournament
- Promoting the programs through the website, e-newsletters, local media and chapter meetings
- Applications for scholarships and internships are reviewed by this director
- Conduct calls to the candidates and determines if a grant will be made to that student
- Applications for internships are also made by sponsor companies who may (or may not) have a candidate in mind. If the sponsor company does not, the Director attempts to provide a match
- After the deadlines for submissions passes, the Director notifies each student and sponsor with a phone call and personalized email
- Notifications are also made to the Treasurer who: 1) in the case of a scholarship issues a check in the name of the student to the sponsor company who gives the check to the student 2) In the case of internships, issues the check to the sponsor company who matches the BMA grant and pays the student as a regular employee
- The director may also have a budget to fund the sponsorship of a student chapter at a local university. BMA Houston will provide seed money along with mentorship opportunities for students who wish to learn more about business-to-business (B2B) marketing
- This director is responsible for setting up speaker opportunities when presented to BMA as well as set up student attended luncheons and BMA sponsored tours of industry trade shows
